Escort on a business trip in Switzerland: how to plan the evening

On a business trip, meeting an escort works differently than it does in private. The company pays for the room, and the calendar leaves little slack. This article covers what follows from that: the time window after your meeting, the company bill, your private budget and the cancellation rules when your flight is late.

How much time do you need between the meeting and the date?

At least two hours. The end of a meeting is not a reliable starting point, because the trip back to the hotel and usually a call from the office come after it.

An example: your meeting ends at 6 pm. 30 minutes to the hotel, 30 minutes to settle in, and it is 7 pm. If the meeting runs half an hour over, you are already tight. So don't book the date before 8 pm. An hour of reserve costs you nothing, a late cancellation does.

Factor in the next morning. A 7 am train or an 8 am presentation ends the evening before it starts. A date with a fixed duration fits the travel plan better than an open evening with dinner and a change of venue.

With airport hotels, location counts twice. Hotel at the airport, office in the city: there is a train ride in between, each way. The name of the city says nothing about how much of the evening goes on transfers.

What is different in a company hotel compared to a private stay?

First, the bill. A surcharge for a second person or drinks from the minibar end up on the hotel bill, and with a company reservation that goes straight to your employer. Pay such items separately and privately at the front desk. That keeps the receipts apart, but it is no substitute for discretion towards the hotel itself.

Second, the colleagues. If you stay in the same hotel as your team, you will also run into them in the lobby or at breakfast. Your room is private, the lobby is not. Which costs belong in your private budget?

All of those connected to the date. On Gingr, the fee is usually between CHF 300 and 800 per hour, and each escort sets it herself. Depending on the booking, travel costs and agreed extras come on top, and outside the booking, dinner or the transfer.

A worked example: two hours at CHF 400 make CHF 800. Add CHF 60 for travel and CHF 140 for dinner, and you are at CHF 1,000. The last two figures are assumptions; put in your own.

For payment, Gingr gives you the option of payment by invoice. It becomes available after an identity check and a credit check via CRIF. The invoice is due 10 days after the invoice date and carries a neutral company name. For you, that means no card payment on the road and a payment date after you are back. You weren't going to pay with the company card anyway.

What happens if your flight is delayed?

The cancellation scale still applies. With Secure Booking, Gingr's cancellation policy treats all reasons the same, known and unforeseeable alike. A delay is no free pass. What counts is when you cancel relative to the start of the booking:

• More than 24 hours before: free of charge.
• 24 to 12 hours before: 25 percent of the booking amount.
• 12 to 6 hours before: 50 percent.
• 6 to 2 hours before: 60 percent.
• Less than 2 hours before, or no-show: 100 percent.

Two rules follow from this. Cancel as soon as the delay is certain, not after landing. The earlier, the lower the tier. And do it through the platform, not by message. An "I'll be late" in the chat is neither a cancellation nor a rescheduling.

The local time of the booking location applies, meaning Swiss time, even if you are arriving from another time zone. For exceptional cases, the policy has "special circumstances": official travel restrictions or unexpected infrastructure problems are reviewed individually on request to support@gingr.ch. Whether a cancelled flight falls under that is Gingr's call, case by case. There is no promise, only a review.

How do you keep company data out of the date?

With a private device and a private account. The company phone is the wrong place for this. Your employer probably isn't reading along. But in certain cases, they are allowed to.

The FDPIC describes the rules on workplace monitoring like this: monitoring employees' behaviour is prohibited under Art. 26 of Ordinance 3 to the Employment Act (ArGV 3). Evaluating internet and e-mail use according to a usage policy is permitted, for instance where misuse is suspected. And in 2021 the Federal Supreme Court held that accessing an employee's private messages violates their personality rights (ruling 4A_518/2020). The line is clear. What lies in front of it, less so. A company device is not a private space.

Dinner or company event: what does the escort need to know beforehand?

The schedule and the dress code. For a Dinner Date, a restaurant near the hotel and a clear end are enough. A five-course meal in two hours only creates time pressure. An aperitif or a simple dinner leaves room for conversation. If the profile lists English, that is the detail that matters at a mixed-language table.

A gala or a company reception adds more: start and end, whether it is a seated dinner or a standing reception, whether photos will be taken and which of your colleagues will be there. The introduction stays simple: first name, "my companion". Nobody needs to know more.

The booked time also includes the trips between hotel and restaurant. If you factor them in from the start, you won't end up paying for an extension that was really a taxi ride.
